Personal Assistant

Join us as a Personal Assistant, where you will play a key role in supporting senior leadership and ensuring smooth operations across our Asia Offices. The PA Area Asia Offices reports directly to the General Manager Asia Offices. In this role, you will provide day-to-day administrative and business support to the General Manager Asia Offices and the Finance & Supply Chain Director, covering activities across China, Korea, Japan, and our Lotus Bakeries factory in Chonburi, Thailand. You will also support the wider regional team, particularly with travel arrangements, and take responsibility for ensuring the efficient operation of our Bangkok office. This position offers a unique opportunity to work closely with regional leaders, contribute to cross-country coordination, and be part of a dynamic, fast-growing international environment.

Job description

Support to the General Manager and the Finance & Supply Chain Director Asia Offices:• Set up appointments/calls and agenda management• Organizing and set up meetings with internal people and external partners• Making travel and accommodation arrangements (also for visitors)• Liase with PA’s of the SOF Countries and at HQ on related matters• Visitors and company phone handling• Management of expense reports, holiday reports, time sheets• Support for visa, work permit application/extension and 90-days reporting (Direct manager & FN director)• Support for documents notarization & legalization• Ensure all documents are properly filed (e.g. contract register, LotusLink)Office Management:• Office and admin vendor and contract management, keep all the contracts updated, valid and uploaded. If needed, search for and introduce alternative and proper vendors.• Responsible for office supply and stationary order and management• Ensure the office is a great place to work (e.g. refreshments, clean & tidy, well organized, etc.)• Manage the relationship and contract with the cleaning lady/company• Keep track and report on the fixed assets in the officeSupport to the Team in BK Office:• Support team members with administrative HR relates tasks in co-operation with the HR team in Chonburi• Support the onboarding of new team members in BK Office• Co-ordinate with the ICT team in BE the set up of new user accounts/hardware and configuration• Organize events, meetings and social catherings and guest management• Provide invoice and SAP support (create vendors in SAP, PO and good receipt)

Profile

Education (degree): • University levelSpecific knowledge:• Microsoft Office (word, powerpoint, excel)• Outlook• OneNoteExperience:• Solid experience (minimal 3-5 years) as a PA/Secretary supporting General Manager and/or Directors in an international environment• Experience working with Expats is preferredLanguage:• Fluent in Thai and English (verbal and writing)Personal competences:1. Hands-on mentality2. Positive thinker, creative with a “can-do” mentality3. Strong communication both internally and externally4. Well organized and strong in admin-related tasks5. Pro-active team player who can work independently and give support at the same time
